Personal data in the application process

Personal data means any information relating to an identified or identifiable natural person. This includes, for example, your name, address, telephone number and date of birth, as well as information about your professional background, insofar as such information can be attributed to a specific person with reasonable effort. Information that cannot be directly or indirectly linked to your actual identity does not constitute personal data.

Legal basis and purposes of processing personal data in the application process

If you apply to us electronically, i.e. by email or via our web form, we collect and process your personal data for the purpose of conducting the application process and carrying out pre-contractual measures.

By submitting an application via our recruiting page, you express your interest in taking up employment with us. In this context, you provide us with personal data, which we use and store exclusively for the purpose of your job search/application.

In particular, the following data are collected:

First and last name
Email address
Telephone number
LinkedIn profile (optional)
Channel through which you became aware of us

You also have the option to upload meaningful documents such as a cover letter, your CV, and certificates. These documents may contain further personal data such as your date of birth, address, etc.

Access to your data is restricted to authorized employees in the HR department and to employees involved in the application process.

As a general rule, your personal data are stored solely for the purpose of filling the vacant position for which you have applied.

Your data will be stored for a period of 90 days after the conclusion of the application process. This is generally done to comply with legal obligations or to defend against potential claims under statutory provisions. Thereafter, we are obliged to delete or anonymize your data. In such cases, the data will only be available to us as so-called metadata without direct personal reference for statistical evaluations (for example, the proportion of female/male applicants, number of applications per period, etc.).

In addition, we reserve the right to store your data for inclusion in our “Talent Pool” for 90 days after the end of the application process in order to identify any other positions that may be of interest to you. This also applies, for example, to applications for apprenticeships or internships. By accepting this privacy notice, you consent to the possible further storage of your data and inclusion in our “Talent Pool”.

If, in the course of the application process, you receive and accept an offer of employment from us, we will store the personal data collected during the application process for at least the duration of your employment relationship.

Disclosure of data to third parties

The data you submit as part of your application are transmitted using TLS encryption and stored in a database. This database is operated by Personio GmbH, which provides HR management and applicant tracking software (https://www.personio.de/impressum/). In this context, Personio acts as our processor within the meaning of Article 28 GDPR. The basis for this processing is a data processing agreement between us as the controller and Personio.

Data subject rights

If we process personal data as the controller, you have, depending on the legal basis and purpose of processing, certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), in particular, where applicable, the right of access (Art. 15 GDPR), right to rectification (Art. 16 GDPR), right to erasure (Art. 17 GDPR), right to restriction of processing (Art. 18 GDPR), right to data portability (Art. 20 GDPR), and right to object (Art. 21 GDPR). If the processing of personal data is based on your consent, you have the right to withdraw this consent at any time pursuant to Art. 7(3) GDPR.

Final provisions

We reserve the right to amend this privacy notice at any time so that it always complies with current legal requirements or reflects changes to the application process or similar. The new privacy notice will apply to any subsequent visit to this recruiting page or any new application.
